Request offers in Sourcing

  • Updated

Overview

With Nexgate Sourcing you can request offers to help you quickly share vehicles you don't intend to retail and collect wholesale offers from trusted buyers, all within the platform.

Instead of managing offers through emails, phone calls, text messages, you can share a vehicle directly from Sourcing, track responses in one place, and compare offers before deciding the next step.

This feature is designed for situations where you've acquired, or are considering acquiring, a vehicle but have decided it isn't suitable for your retail inventory and would prefer to wholesale it or you need offers to decide on the best course of action.

What can you do with Request Offers?

With Request Offers, you can:

  • Share a vehicle with one or more contacts, wholesalers or auction partners OR easily make the vehicle visible to other Accounts in your Group in Nexgate
  • Set a minimum acceptable offer amount
  • Decide for how long you are open for offers (for example 1 day or 3 days) and schedule the request to go live later
  • Add additional notes about the vehicle
  • Include photos and condition information
  • Track offers received in one place
  • Compare multiple offers before accepting one
  • Automatically notify buyers when you have accepted their offer

Why Use Request Offers?

Request Offers helps reduce manual administration by keeping vehicle sharing, offer collection, and offer tracking in a single workflow. It is also a great way for large dealership groups to share a common view on their vehicles available to dispose of within Nexgate.

Rather than chasing responses across multiple channels, you can manage the entire wholesale offer process directly from Nexgate and make faster, more informed disposal decisions.

How to create an offer request

Step 1: Open a Sourcing Opportunity

In Sourcing, navigate to the vehicle for which you would like to request offers.

This is typically a trade-in or acquisition that you do not plan to retail and would prefer to wholesale.

Step 2: Click 'Share' from the Opportunity

Once you click on the ‘Share’ button on the top right of the screen, it will show the option to request offers.

Step 3: Create an Offer Request

Select Create Request and configure your request.

You'll be able to:

  • Set an offer expiry period (default is 1 day)
  • Enter a Minimum offer allowed. Offers below it are declined automatically
  • Add a Comment, if any, for buyers
  • Indicate the vehicle status:
    • In-stock, Incoming
    • Subject to acquisition

This will be selected by default based on the opportunity status and helps buyers understand where the vehicle sits in the acquisition process.

  • Under See more, photos are included by default and can be switched off. Note that when turned on, any photos you add after sharing will also become visible to recipients.
  • Turn on Include condition to add the condition details.

Offer Format

Currently we support the closed offers format. This means that:

  • If multiple buyers submit offers, they cannot see competing offers
  • Buyers cannot see who else has been invited
  • Offers remain private between the buyer and yourself

Note: Open offers are coming soon, for when you want more competition between buyers.

Step 4: Choose How to Share

You can share your request using one of the following visibility options:

Anyone with the link

Share the request with external buyers using a link.

Within this option, you can either:

Invite buyers directly

  • Send the request to one or more contacts.
  • If a contact isn't already saved, enter their email address or phone number and add them to your contacts list.

Email / SMS sends the invitation from Nexgate. Adding both an email address and a mobile number gives two ways to reach the buyer.

Copy and share the link

  • Copy the generated link and send it using your preferred communication channel (you can share it via Email, Messaging, etc.)

You can also preview what recipients will see. To do so, select Preview link.

Restricted groups (My group or groups)

Make the request visible to members of one or more dealer groups that you belong to in Nexgate.

Important: In both cases, Anyone with the link or Restricted groups, the request is not visible to anyone until it has been shared. Creating the request alone does not make it available to buyers or group members.

What Nexgate Buyers will see

When a recipient receives your invitation, they’ll be able to view:

  • Vehicle details
  • Vehicle condition information
  • Images (when included)
  • Supporting appraisal information
The offer request recieved by the buyer - For existing Nexgate users

They can then submit a private offer by entering:

  • Their offer amount
  • Optional comments
  • Purchase intentions or conditions

Tip: Buyers on Nexgate can also find requests in Find Opportunities by setting the Publishing filter to Nexgate.

Buyers Without Nexgate Access

Buyers do not need a full Nexgate account to participate.

If the recipient doesn't have access, they'll be able to:

  • Register with a lightweight account using their email credentials or use their existing carsales login credentials.
  • Submit offers through the shared page

Managing Offers

Once shared, your request will be:

  • Published (scheduled). Shared, and scheduled to go live later.

  • Live and Shared. Running. Buyers can submit.

  • Ended. The time is up.

  • Accepted. You have taken an offer.

  • Cancelled. You stopped it.

In the Sourcing list, a running request shows how long is left. When offers come in, select See offers to review and compare them.

Accepting an Offer

When you're ready to proceed:

  1. Review the offers received.
  2. Select the preferred offer to expand the section.
  3. Click Accept Offer.

Nexgate will notify the successful buyer that their offer has been accepted.

Note: If the time you set has elapsed, buyers will not be able to submit offers. You can still accept an offer after the time has ended. The highest offer will not be accepted automatically.

What Happens After Acceptance?

Once an offer has been accepted:

  • The buyer is notified, and
  • You can discuss with the buyer directly to finalise the transaction.

The actual vehicle transaction takes place directly between the participating businesses.

Who can access offer requests?

  • Sharing a request or submitting an offer is available with every Nexgate plan.
  • A full Nexgate user needs Sourcing Manage permissions to create, share or accept a request.
  • A full Nexgate user needs Sourcing Manage permissions to submit an offer on a request they receive.

Important Notes

  • Request Offers is an optional workflow, like other share flows, within Sourcing.
  • Note: Sharing to the entire Nexgate dealer network and to custom groups is coming soon. Please let your Customer Success Manager know if this is important to you.
